Present Both Responsibilities and Results in Your MBA Resume

In your MBA resume, be sure to showcase your accomplishments, rather than merely stating the responsibilities of your position. When your responsibilities are presented with no accompanying results, the reader has no understanding of whether you were effective in the role you are describing. For example, consider the following entry, in which only responsibilities are offered:

2012–Present Household Products Group, Flocter & Gramble Cincinnati, Ohio

Brand Manager

  • Responsible for managing a $10M media campaign, supervising a staff of five junior brand managers, monitoring daily sales volumes, and ensuring the consistent supply of product from five production facilities in three countries.

The reader is left wondering, “Was the media campaign successful? Did the staff of five progress? Did sales volumes increase? Did the supply of products reach its destination?” When this one long bullet point is instead broken down into individual bulleted entries that elaborate on each task and show clear results, the reader learns not just about the candidate’s responsibilities, but also about that person’s ultimate effectiveness and successes.

2012–Present Flocter & Gramble Cincinnati, Ohio

Brand Manager

  • Initiated $10M television/Internet “Island Vacation” promotion introducing new Shine brand detergent, surpassing first-year sales targets within three months.
  • Mentored and supervised five junior brand managers, each of whom was promoted to brand manager (company traditionally promotes 25%).
  • Analyzed daily sales volumes and identified opportunity to increase price point in Midwest, resulting in 26% margin improvement and $35M in new profits.
  • Secured “safety supply” of vital chemicals from alternate suppliers, ensuring 99% order fulfillment.

By comparing the first entry with the second, you can see how much more effective an accomplishment-driven MBA resume is than one that simply lists responsibilities.

Demonstrate Non-Quantifiable Results in Your MBA Resume

Presenting quantifiable results in your MBA resume is preferred, because such results clearly convey your success in the actions you undertook. However, in some instances, you simply cannot quantify your success. In such cases, you can instead demonstrate non-quantifiable or even potential results. Consider the following examples:

  • Persuaded management to review existing operations; currently leading Manufacturing Review Committee, which will table its final report in June 2019.
  • Established divisional continuing education series, noted on review as “crucial” and “game changing.”
  • Initiated biweekly “Tuesday at Five” team social event, resulting in enhanced workplace morale.

In each of these bullet points, the results of the writer’s actions are not measurable, but they are nonetheless important. The accomplishments, while “soft,” are conveyed as clearly positive.

Keep It Concise

Ideally, your MBA resume should be only one page long; admissions committees generally expect and appreciate the conciseness of this format. If you choose to submit an MBA resume consisting of two pages or more, your reader may have difficulty scanning it and identifying (and remembering) important facts. With these space constraints in mind, we offer two fairly straightforward “space saver” ideas:

  • Do not include a mission statement at the beginning of your MBA resume. Your mission in this case is to get into the MBA program to which you are applying—and, of course, the admissions committee already knows this! A mission statement will take up precious space that can be used more effectively for other purposes.
  • Your address should take up no more than one line of your MBA resume. Many applicants will “stack” their address, using four, five, or even six lines, as if they were writing an address on an envelope. Consider how much space an address occupies when presented in the following format:

You just wasted six lines of real estate! To help whittle your MBA resume down to one page, try putting your address on just one line so you can save five others for valuable bullets.

And, while we are discussing the document’s length, resist the urge to shrink your font or margins to make your MBA resume fit on one page. Your font should be no smaller than 10-point type, and your margins should be no smaller than 1″ on either side and 0.75″ at the top and bottom. Rather than trying to squeeze too much information onto the page, commit yourself to showcasing only your most important accomplishments that tell your story best. 📝

When preparing personal statements that require significant information about career progress, many applicants choose to discuss their accomplishments in chronological order. Although the simplicity of this approach makes it an attractive one, we encourage you to consider an alternative to showcase your more recent and thus potentially stronger accomplishments first. By choosing this alternate approach, you may capture your reader’s imagination more quickly and reduce the risk of being lost amid similar candidates.

Consider the examples of a software analyst who is now a project manager managing a budget and leading a team of 20 programmers, and of an investment banking analyst who is now in his/her third year with a company and has been sent abroad to work directly with a CFO:

The Project Manager:

Chronological: “Joining ABC Technology as a software programmer, I…”

Reverse: “Scrutinizing my plan one last time, I waited to present my team’s $3.7M proposal to our client…”

The Investment Banker:

Chronological: “As an investment banking analyst at Deutsche Bank, I started…”

Reverse: “Arriving in Taipei, I was admittedly nervous to finally meet the CFO of XYZ Co. and lead my firm’s due diligence process…”

In these examples, the candidates immediately present their standout accomplishments and thrust the reader into the excitement of their stories. Although this kind of reverse introduction is not “all purpose,” it can be a feasible option in many circumstances. Still, in choosing this approach, the candidate must also be able to fluidly return to earlier moments in his/her career later in the essay—a task that requires creativity and skill.

Another task that requires skill is determining when to use the active voice. Many writers use the passive voice in their essays, but the best writers know it should be used only rarely, if ever.

The passive voice puts the verb in the “wrong” place in the sentence, thereby removing the “action.” Subjects become acted upon rather than performing actions. Sentences with the passive voice typically include verb phrases such as “was” or “has been” (e.g., “it was determined,” “the project has been completed”).

Consider this example of the passive voice:

“The marathon was run despite my injury.”

In this sentence, the verb (or action) is diminished because the writer says the marathon “was run.” A better way of describing the same activity is to use the active voice, as illustrated in this example:

“I ran the marathon despite my injury.”

Here are two more examples:

Passive: “The contract was awarded to us.”

Active: “We won the contract.”

Passive: “It was decided that I would be in charge of the project.”

Active: “My boss selected me to be in charge of the project.”

Remember—you are the center and subject of your essays. The best way to tell your stories and explain your accomplishments is to make sure that you are the catalyst of the stories you tell. Using the active voice ensures that the admissions committee(s) will see you as an active person who makes things happen. 📝

Many business schools use the questions in their MBA application essays as an opportunity to ask about the unique contributions you will make to their particular program.

Unfortunately, candidates often make the mistake of thinking that a bland summary statement like “I will bring my leadership skills to XYZ School” will sufficiently express their intended contribution. One reason we prefer to work with business school candidates “from start to finish” is so we can prevent such problems. Simply relating a story about a past experience and then repeating the main point does not demonstrate that you can or will make a meaningful contribution to the school. Ideally, you want to go further, explaining how you would apply and use your experience and skills while at the school in a way that would offer some benefit to others, thereby demonstrating a true understanding of your fit with that particular program.

Example 1:

“My experience as a stand-up comedian will allow me to bring humor to the Kellogg environment.”

With this statement, the MBA admissions committee is left wondering, “How exactly will this applicant bring humor to the environment? Does this person really know what our environment is about?” In contrast, consider our next example.

Example 2:

“My experience as a stand-up comic will prove particularly useful at Kellogg, a dynamic environment where I will be constantly joining new and energetic study teams. I anticipate using my sense of humor to create more relaxed team environments, helping everyone feel comfortable contributing, though I will use my humor judiciously, such as to diffuse tense moments during late-night study sessions, rather than as a distraction. I believe my skills and experience being funny on stage will also allow me to play an important role in the Kellogg Follies.”

In this example, the writer has applied his/her personal experience and intended contribution directly to the Kellogg experience and has thereby shown a clear connection with the school, proving that the candidate truly identifies with it and accurately understands its nature.

At times, candidates also tend to unintentionally describe their personal experience with a specific MBA program in a vague and general manner. Because they are writing from memory and discussing their authentic experience, they do not realize that they are not being specific enough. Consider the following example:

“During my visit to Cornell Johnson, I was struck by the easygoing classroom discussion, the warmth of the professors, and the time spent by the first-year student who not only toured the facilities with me but also took me out for coffee and asked several of his colleagues to join us.”

Although these statements may in fact be true, the text contains no Cornell-specific language. If the Yale School of Management, Michigan Ross, or the name of any other school were substituted for Cornell Johnson here, the statement would not otherwise change at all, resulting in a weak and generic essay.

In contrast, the following statement could refer only to UVA Darden:

“While on Grounds, I was impressed by Professor Robert Carraway’s easygoing and humorous style as he facilitated a fast-paced discussion of the ‘George’s T-Shirts’ case. Although I admittedly felt dizzied by the class’s pace, I was comforted when I encountered several students reviewing the finer points of the case later at First Coffee. I was impressed when my first-year guide stopped mid-tour to check in with her learning teammate and reinforce the case’s central point. It was then I recognized that this was the right environment for me.”

If you were to substitute the Darden name and even the professor’s name with those of another school and professor, the paragraph would no longer work. Including the Darden-specific information regarding the day’s case, First Coffee, and learning teams ensures that these sentences have a sincere and personal feel and shows that the candidate truly understands what the school is about. This is necessary to craft a compelling personal statement that will catch the admissions committee’s attention. 📝

We at mbaMission often receive questions about part-time MBA programs, so we thought we should offer a look at some of the pros and cons of this option.

As for the pros, the one that business school candidates cite most frequently is that the part-time MBA involves a limited opportunity cost. Unlike a full-time MBA student, a part-time MBA student does not miss out on two years of salary (and, in some cases, retirement savings) and can still earn raises and promotions while completing his/her studies. Furthermore, firm sponsorship seems to be more prevalent for part-time MBA students, so candidates who have this option can truly come out ahead, with a free education and continued earning throughout.

Beyond the financial rationale, many part-time MBA students see an academic advantage; they can learn both in the classroom and at work and can then turn theory into practice (and vice versa) in real time, on an ongoing basis. Of course, a cynic might add that another pro is that part-time MBA programs are generally less selective. So a candidate who may have had difficulty getting accepted to a traditional two-year program may have a better chance of gaining admission to a well-regarded school in its part-time program instead.

As for the cons, many part-time MBA candidates feel that the comparative lack of structure means that networking opportunities within the class are limited. While one part-time MBA student could complete a school’s MBA program in two years, another might complete it in five. As a result, with candidates progressing through the program at such different paces, students will not likely see each other regularly in the same classes or at social events. In addition, in a traditional MBA environment, academics always come first; in a part-time MBA environment, work typically comes first, and academics must come second or even third, after family. In other words, the full-time program generally involves greater intensity with regard to the classroom experience, given that it is the focal point of students’ lives. Another thing to consider is that some programs do not offer their “star” faculty to part-time MBA students—something that candidates should definitely ask about before enrolling—and offer limited access to on-grounds recruiting.

Of course, we are not trying to offer a definitive “answer” or present a bias for a particular kind of program; we are simply sharing some objective facts for candidates to consider as they make informed choices for themselves.

MBA candidates looking to broaden their business school choices could also consider European MBA programs.

Although many applicants who are competing for places at the top U.S. business schools are well aware of the strengths of the MBA programs at INSEAD and London Business School, even more options are available beyond these two, including IESE, ESADE, Oxford (Said), and Cambridge (Judge). These four schools in particular have been aggressively playing “catch-up” with their better-known brethren by raising funds and dedicating them to scholarships and to enhancing their global brands. Those who know their business schools are also aware that IMD offers a boutique MBA program with remarkable international diversity, very highly-regarded academics, and a stellar reputation with international employers.

So, numerous options are available, and each can be explored on its own academic merit. But is earning your MBA in Europe, in itself, a good choice for you? For many, the key issue in determining this is where they would like to be after completing their education. If you are seeking to work in Europe, then clearly, these schools offer an advantage over all but the top five or six schools in the United States—Harvard Business School, for example, can probably open as many doors in Europe as INSEAD can. However, if you are seeking to work in the States, then the European schools will not provide the pipeline of opportunities that a top-ranked American school could provide, particularly for those who hope to work in a niche industry or with a company that is not a well-known international brand.

Still, beyond the employment picture, studying abroad offers intrinsic value. Spending two years in London, Fontainebleau, or Lausanne could certainly be its own reward. 📝

One way to conserve words in your application essays and short-answer responses is by pluralizing nouns whenever possible. Singular words often require an article such as “a,” “an,” or “the.” These words can add unnecessarily to your word count, thereby cluttering your page without contributing to your argument or style. Consider the following example:

“A manager with an MBA can ascend the corporate ladder faster than a manager who lacks an MBA.” (18 words)

Now consider this version, in which many of the singular nouns have been pluralized:

“Managers with MBAs can ascend the corporate ladder faster than managers without MBAs.” (13 words)

As you can see, both sentences present the same idea, but one sentence is five words shorter than the other. Given that application essays can include dozens or even hundreds of sentences, pluralizing wherever possible is helpful in meeting word count requirements and decluttering the text.

Although decluttering your application essays is important, ensure that all of your sentences are not the same length. Many business school applicants use medium-length sentences (like this one) in their essays. Few use short sentences (like this one). Likewise, few use long sentences in their application essays, even though long sentences (like this one) can often play a useful role in an essay’s structure and story.

Confused? Consider the following example:

“At XYZ Inc., I was the manager in charge of leading a team of 12 staff members. Included in my team were four engineers, four marketing professionals, and four market analysts. Our goal was to develop a new thingamajig within six months. We worked really hard over the six months and succeeded. The new thingamajig is now on the market and is selling well. As a result of my efforts, I was promoted to vice president.”

All these sentences have approximately the same number of words and the same rhythm/cadence, making the paragraph fairly boring to read. Nothing changes—the structure just repeats itself over and over again, with one medium-length sentence following another medium-length sentence.

Now consider this example:*

“At XYZ Inc., I was the manager in charge of leading a thingamajig development team of 12 staff members, four of whom were engineers, four were marketing professionals, and four were market analysts. We had just six months to launch our new product. The team worked really hard and succeeded, and the new thingamajig is now on the market, where it is selling well. As a result of my efforts, I was promoted to vice president.”

The sentences in this paragraph are varied—the first is quite long, the second is very short, the third is medium-long, and the fourth is medium-short. Sentence variety makes for a much more interesting read, and one very short sentence in the middle of some longer ones can provide precisely the kind of contrast and drama that application essays so often need.

*Please note that this is a simplified example for illustration purposes. If this were an actual essay, we would encourage the applicant to offer greater insight into his/her experience launching the product. 📝

When business school candidates read an MBA application essay prompt, they often interpret it quite literally. For example, when a school asks applicants a multi-part question such as “What will you contribute to our school’s community, and how will being part of it help you extend your professional vision?,” many applicants assume they must answer the sub-questions in the exact order in which they are asked. However, this is not true. Such questions are actually quite flexible, and sometimes, you can better engage your reader by pursuing your own structure.

We have found that for overrepresented candidates with unique professional goals, one strategy that can be quite helpful is leading with goals instead of professional history. After all, “typical” experience is not as captivating as unusual (but realistic!) ambitions. So, the technologist who plans to open a boutique hotel or the investment banker who aspires to start a competitive windsurfing circuit can use these bold goals to stand out from the start.

We must emphasize, however, that such candidates need to have and portray a compelling connection to their goals, and we do not suggest that overrepresented candidates strive to imagine or create “wild” goals just to catch an admissions committee’s attention. However, if you have a profound connection to an uncommon aspiration, then responding to a school’s questions in a different order and ensuring that your goals are front and center could make a difference.

Another trend we have noticed is that when tailoring their MBA application essay to specific schools, many candidates do not go far enough to demonstrate a clear and understandable connection between themselves and their target programs. Offering school-specific information is good, but you must go beyond merely mentioning the particular resource(s) that appeal to you—you must add context for your claims.

What is the difference between a mere mention and providing context?

Mention:

“With a focus on entrepreneurship, I will participate in Columbia’s Entrepreneurial Sounding Board process. Further, I am attracted to classes such as ‘Small Business Finance,’ ‘Real Estate Marketing,’ and ‘Introduction to Mergers.’ I also plan to join the…”

Context:

“With clear plans to launch my startup immediately after graduating from Columbia Business School, I look forward to testing my ideas through the Entrepreneurial Sounding Board; I find this opportunity to meet with faculty and gain critical feedback and mentoring invaluable as I strive to refine my business plan and learn more about how to source investments…”

In the first example, the candidate shows an awareness of the Entrepreneurial Sounding Board but does not provide the context necessary for the reader to fully understand how he/she will use this resource; therefore, the mention is entirely superficial. As a result, it is unconvincing, impersonal, and easily forgettable. The applicant has seemingly not taken the time to reflect on this resource and how he/she would use it to progress toward his/her stated goals. The candidate then goes on to list the classes he/she plans to take and essentially succeeds in little more than cataloging resources rather than offering a reasoned consideration of how the school’s offerings are necessary.

The second example better explains exactly how the candidate will use the resource mentioned; the applicant has clearly done the necessary research on the school and truly grasps how Columbia Business School will satisfy his/her academic and professional needs. Because the latter example is more informed and serious minded, the admissions reader can be certain that the candidate has a set path and a clear plan to achieve specific goals. 📝

You have a high GRE score and a 3.75 GPA. You have made solid career progress and procured glowing recommendations. You have been actively volunteering in your community for years. You worked hard on your application and landed an interview at your target school, where you felt you did well. But you still did not get in. You must have done something terribly wrong in your interview or unwittingly made a mess of your essays, right? Not necessarily.

We recently spoke with the admissions director at a top program who explained that his school does not give feedback to rejected candidates because it is simply a waste of the candidate’s and admissions staff’s time. The admissions director told us that the school would need to nitpick in order to give candidates something to work on and to ensure that they filled the time during these hypothetical feedback sessions. He explained that nine times out of ten, the feedback that they offered to weaker candidates would be patently obvious and that countless strong applicants had done nothing wrong at all. In fact, most candidates create their best applications, but space is simply limited in the class.

Although this may not be comforting if you were rejected, you may just have been the victim of a competitive process during a competitive year. We suggest that you honestly assess your own candidacy and consider staying the course as you continue applying. Spending significant time revamping your applications may be a waste of time and a losing strategy. Patience may prove beneficial in the long term.

What have you been told about applying to business school? With the advent of chat rooms, blogs and forums, armchair “experts” often unintentionally propagate MBA admissions myths, which can linger and undermine an applicant’s confidence. Some applicants are led to believe that schools want a specific “type” of candidate and expect certain GMAT scores and GPAs, for example. Others are led to believe that they need to know alumni from their target schools and/or get a letter of reference from the CEO of their firm in order to get in. In this series, mbaMission debunks these and other myths and strives to take the anxiety out of the admissions process.


Each year, we hear from a few people who think their professional position is a liability when applying to business school: “I am a school teacher. Maybe if I transitioned to consulting, I would get into the school of my dreams.” Although bankers and consultants are certainly much more represented at top business schools than teachers, this is not evidence of a bias among admissions officers, but of the nature of those workplaces. Most bankers and consultants need an MBA to progress past a certain point on the corporate ladder, whereas no teacher truly needs that MBA to progress.

What is more important than focusing on an industry or on a particular community endeavor is your performance in your endeavors. Classes at top-ranked MBA programs have space for high-performing consultants, bankers, and teachers—something that cannot be said for low-performing individuals in any field. Top programs want a diversity of experience in their classrooms and the promise of achievement going forward, not a job title. 📝

As grad school interview invitations roll out, do your best to remain calm and let the admissions committees do their work. Although becoming a little apprehensive is natural if you have not yet received an invitation, you will certainly not increase your chances of receiving one by calling the admissions office and asking if the school does indeed have all your files or if a grad school interview decision has been made. In fact, such calls can actually have a negative effect on your candidacy, inadvertently making you seem pushy or even belligerent.

Admissions offices are increasingly transparent and should be taken at their word. If they say they are still releasing decisions, then they are in fact still doing so. If they say that the timing of your grad school interview decision does not signify an order of preference, then it does not. Unless something has changed materially in your candidacy, all you can really do—as painful as it may be—is wait patiently and try not to think about the decision or second-guess your status.

As the application season reaches its final rounds, we thought it would be appropriate to discuss some challenging grad school interview situations you might encounter. Most grad school interviews are straightforward opportunities for an interviewer to learn more about a candidate’s personal and professional backgrounds, goals, reasons for selecting a specific school, and leadership/team experiences. Yet interviews can vary dramatically from school to school, and sometimes they include a few peculiarities. So, what constitutes a “tough” grad school interview, and how can you best navigate one?

Stoic interviewer: Some interviewers can be unemotional, refusing to give you any indication as to whether you are making a positive impression or not. And amid the intense pressure of a grad school interview, you may perceive this lack of clear positive response as a sign of actual disapproval. The key to managing such a situation is to tune out the interviewer’s lack of emotion. Focus on your answers and do your best to not be distracted by anything about the interviewer, ignoring everything except the questions he/she is posing. “Reading” the interviewer in real time can be challenging, so you should instead concentrate on showcasing your strengths.

Philosophical questions: Most candidates are ready to discuss their experiences and accomplishments, but many are not prepared to discuss their values and philosophy on life. Harvard Business School, in particular, likes to understand applicants’ motivations and will ask questions like “What is your motivation to succeed?,” “What drives you?,” and “What gives you purpose in life?” The key to answering these sorts of questions is pretty simple: expect and prepare for them in advance (after all, you are being warned right now). However, you should not assume that all the questions you will receive during your grad school interview will be experiential.

Persistent questioning: Sometimes a tough interviewer will continuously delve deeper into a subject, such as by repeatedly asking “Can you be more specific about [the topic under discussion]?” after posing an initial question. These kinds of unusual pressure tactics can be disconcerting, but the key is to simply stay on topic. No matter how persistent he/she is, the interviewer is always essentially asking you about a subject that you know quite well—you! So again, by avoiding the distraction of the tactic and sticking to your agenda, you should be fine. 📝
